Fleet compliance and operations · British-built · UK-hosted
Every promise, kept.
Your operator licence is a set of promises. Oathstead is being built to keep them: every check, inspection and record sealed the moment it’s made, held in Britain, and yours to take with you.

Safety notice
AB12 CDE: safety inspection overdue. Due 16 Oct. Book an inspection before this vehicle is used.
An illustration of how records and notices will look. Oathstead is in development.
“Good morning. All fourteen walkaround checks are in and clear, which is more than can be said for the coffee machine. Two licence checks fall due next week. Thursday looks quiet, if that suits.”
Aldric · your steward
He notices, flags and suggests. You decide.
Not another dry list of demands. Aldric speaks the way a good steward would: courteous, clear and to the point. Choose the manner that suits you, or switch it off. Safety and legal notices are always plain.
Driven by the law
Built on the law, not on guesswork.
At Oathstead’s core will be rules written from the legislation and DVSA’s published guidance: drivers’ hours rules, safety inspection intervals, operator licence undertakings and the Guide to Maintaining Roadworthiness. Every date, reminder and alert will trace back to a rule you can look up.
There’s no AI deciding what’s compliant. Aldric doesn’t decide anything either: he tells you what the rules say, in plain words, and a person makes every decision.
Our oath to you
Four promises we’re building in, and will write into our customer terms.
-
Your records stay in Britain
Oathstead will be hosted in UK data centres. Our contracts are under the law of England and Wales.
-
Leave on notice, take everything
Rolling monthly, with three months’ notice and no penalty. Export everything in open formats while your account is in good standing, and always when you leave. Any record you’re asked to produce is always available.
-
Compliance is never compromised
As your fleet grows or shrinks, your plan moves with it, and you can add or drop extras. Everything the law asks of you stays included on every plan.
-
Every record, sealed
Once saved, a record can’t be edited. Corrections are added as new entries and the original stays, so your records stand up to DVSA and the traffic commissioner.
What it will keep
Everything the traffic commissioner may ask to see.
Walkaround checks and defects
Daily checks on the driver’s phone, in the web browser. Every defect reported, repaired and signed off.
Safety inspections
Inspection intervals planned, inspection sheets recorded, and every defect followed through to the repair.
Drivers’ hours and tachographs
Infringements and working time from our tachograph analysis partners, or the provider you already use, explained in plain English.
Licences and driver checks
Driving licence, CPC and driver card expiry dates watched, and every check recorded on the day.
Earned Recognition
Your measures tracked month by month, to the standards DVSA’s Earned Recognition scheme expects. Oathstead isn’t a DVSA-validated system provider yet, so it can’t report to the scheme for you yet.
Nothing for drivers to install
A web browser and a PIN. No app to download.
Beyond compliance
Compliance is the core. Every day’s operations run on it.
Oathstead isn’t a box you tick once a month. The same record will run the day itself: which vehicles are fit to go out, who’s legal to drive them, what’s due in the workshop, and what’s been booked. When the day is planned around compliance, compliance stops being a separate job.
Plan the day
Vehicles and drivers allocated knowing they’re legal to go, before anyone leaves the yard.
Keep the fleet moving
Defects, inspections and repairs planned around the work, not discovered in the middle of it.
Run the work
Duties, jobs and bookings on the same record, so the office and the road see the same thing.
Made to fit
You pay for what you need, not what we think you want.
-
For passenger transport
Bus, coach and minibus operators
PSV operator licence compliance for bus, coach and minibus fleets: daily walkaround checks, defect reporting, safety inspections and drivers’ hours on one record. Add only the extras you’d actually use.
-
For logistics
Haulage, distribution and van fleets
Goods vehicle operator licence (O-licence) compliance for HGV and van fleets in haulage, distribution and delivery: undertakings, vehicle maintenance, walkaround checks and drivers’ hours on one record. Add only the extras you’d actually use.
-
For transport managers
Every operator you look after
A version for transport managers, in-house or external. Every licence you’re responsible for in one place, each operator’s records kept separate, and nothing you don’t need.
-
For community transport
Community groups and community interest companies
A version for community transport, whether you run under a Section 19 or 22 permit or on a full operator licence as a community interest company. The compliance you need, without commercial extras like accounting and invoicing.
One place of record, with the providers you already trust
Keep your accounting package and your tachograph analysis provider. Oathstead will connect to them, so everything comes together in one place: one record that DVSA and the traffic commissioner can rely on.
Before you sign with anyone
Six questions to ask any supplier. Including us.
Good days, bad days, and the day DVSA comes calling: we stand by our operators through all of them. We’ll answer all six in writing before you sign.
- Where is my data stored, and can I choose the UK?
- Which country’s law governs our contract?
- Can I leave on notice, without a penalty?
- Can I export my inspection records today, in a format another system can read?
- If my fleet grows or shrinks, can I change my plan without a penalty?
- Can you show me a record hasn’t been changed since it was made?
Switching
Run side by side. Switch when you’re ready.
-
Bring your fleet
Add your vehicles and their due dates yourself, free, and upload the paperwork behind past dates. If you’d rather we typed it in, that’s a paid option, and every entry will show who made it.
-
Run both
Keep your current system while Oathstead proves itself on your own fleet.
-
Switch when ready
You choose the day. Anything brought in will be marked as imported, so sealed records are only ever ones made in Oathstead.
