How we use your details
Last updated 28 October 2026. This notice covers oathstead.com and its register-interest form.
Who we are
Oathstead is provided by TK DTS Ltd, registered in England and Wales, company number 17216648. Registered office: 71–75 Shelton Street, Covent Garden, London WC2H 9JQ. We are the controller of the details you give us here.
[CONFIRM: ICO registration number for TK DTS Ltd.]
Questions about your details: [email protected].
What we collect
- From the form: your name, company, number and type of vehicles, what you use now (if you tell us), your email address, and whether you ticked the box for news emails.
- When you confirm: the date and time, and which version of the consent wording you saw.
- For security: a scrambled fingerprint of your internet address, used only to count form posts from one connection and deleted after an hour. We can’t turn it back into your address.
- Our hosting provider’s web server keeps standard access logs (internet address, page requested, time and browser type) to keep the service secure and working. [CONFIRM: log retention period set in Plesk.]
Why we use it, and our legal basis
- To reply about a founding place. You’ve asked us to, so we use your details to take steps at your request before a possible contract (UK GDPR Article 6(1)(b)).
- To send news and launch updates, only if you ticked the box. The legal basis is your consent (Article 6(1)(a), and regulation 22 of the Privacy and Electronic Communications Regulations). You can withdraw it at any time.
- To keep the form safe from spam and abuse. This is in our legitimate interests (Article 6(1)(f)).
We don’t sell your details, we don’t use them for profiling or automated decisions, and we don’t add you to anyone else’s list.
How we protect it
Your name, company and email are encrypted before they’re stored. Links in our emails can be used only once (confirmation) or only by you (deletion), and we store them only in scrambled form.
Who else handles it
- IONOS hosts the server this site runs on, in a UK data centre. [CONFIRM: UK data centre for the Plesk server.] The server is managed within our group of companies. [CONFIRM: TK DGTL Ltd, once formed, with a data processing agreement.]
- Microsoft sends our emails and holds our team mailbox (Microsoft 365). When you confirm, your details are emailed to our team mailbox so we can contact you. [CONFIRM: Microsoft 365 data location for our account.]
- Cloudflare answers the internet’s “where is oathstead.com?” lookups (DNS). It also passes visits and form posts on to our server, so it handles your internet address and what you send through the form, and may do so outside the UK. [CONFIRM: the transfer safeguard Cloudflare relies on before this is published.]
How long we keep it
- If you don’t confirm, we delete your details after seven days.
- If you confirm, we keep them for 12 months, then delete them, unless you become a customer or ask us to keep in touch.
- If you ask us to delete them, we do it straight away, including the copy in our team mailbox.
Cookies
We set one cookie, only on pages with a form. It stops other websites sending forms in your name, and it’s deleted when you close your browser. It’s strictly necessary, so the law doesn’t ask us to request your permission for it. We use no analytics, advertising or tracking cookies, and load nothing from other websites.
Your rights
You can ask us for a copy of your details, to correct them, to delete them, to restrict or object to how we use them, or to have them in a format you can take elsewhere. Every email we send has a link to delete your details. Otherwise email [email protected]. We’ll reply within one month.
If you’re unhappy with how we’ve handled your details, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We’d appreciate the chance to put things right first.
